Agree what is shared
List accommodation, transport, meals and activities, then identify which costs belong to the whole group and which are personal. Agree how room differences, optional activities and different arrival dates will be handled. Equal shares can be simple, but they are not automatically the arrangement everyone considers fair.
Choose one record everyone can inspect and name the person responsible for each booking. Confirm contributions before making nonrefundable commitments. A group conversation about preferences should lead to explicit amounts and dates, not an assumption that everyone will later accept the same budget.
Show the split clearly
Suppose four people share a hypothetical $480 accommodation bill equally, making $120 each. One person pays the full amount, so the other three each owe that person $120. If the payer also owes another traveller $30 for a separate shared booking, those entries can be offset, leaving a net $90 between those two people.
Keep the original transactions visible even when simplifying repayments. That makes the final amounts explainable. If one person stays fewer nights, use the allocation agreed in advance; do not quietly switch methods after the booking because the resulting number favours someone.
Settle without losing the records
Record expenses promptly with the payer, amount and participants. A meal attended by three travellers should not automatically be divided among all four. When currencies differ, agree whether to use the actual charged amount or another consistent conversion method, including how fees will be allocated.
Set a time to review the totals while receipts and memories are available. Mark reimbursements as paid so they are not requested again, and distinguish money advanced from your own final trip cost. If someone disputes an amount, return to the booking or receipt and the original agreement. Clear records cannot resolve every difference in preference, but they prevent a simple arithmetic issue from becoming a disagreement about trust.
Keep personal shopping outside the shared record unless the group specifically agreed to include a particular purchase.
